Organize people, recordings, permissions, and feedback in Cap

Cap organizations give a team one place to manage members, recordings, storage, and reporting. Within an organization, spaces and folders keep work organized while roles control who can change settings.

Start with an organization

An organization has three member roles:

Owners and admins can invite people from the organization settings. Invitations can be prepared in batches, and Cap also creates missing organization users during a mapped Loom migration without sending an unexpected invitation email.

Organize work with spaces and folders

Use spaces for durable team areas such as Product, Support, Sales, or Onboarding. Add the organization members who should work in each space; space members can be admins or members. A Pro space can also publish a collection link where anyone with the link can browse the public Caps in that space, and a space can require a password for its Caps.

Folders provide another level of organization inside a space or in a personal library. A Cap can be moved between supported organization, space, and folder locations without changing the recording itself.

A practical structure is:

  • One organization for the company or business unit
  • Spaces for teams or long-running programs
  • Folders for projects, releases, customers, or time periods

Share and collaborate

Public Caps can be watched by anyone with the link. Private Caps require an authorized signed-in viewer, and password-protected Caps prompt for the password before playback.

Signed-in viewers can add timestamped comments, replies, and emoji reactions when the organization and Cap settings allow them. Comment authors can delete their own comments. New-comment notifications can appear in Cap and by email, depending on notification preferences.

Organization settings can disable comments, reactions, transcripts, captions, summaries, or chapters for the whole organization. They can also set branding, a custom domain, an allowed email domain, a default playback speed, and an AI language.

Understand engagement

Organization analytics can be viewed over 24 hours, 7 days, 30 days, or the lifetime of the organization. The dashboard includes Cap, view, comment, and reaction totals plus time-series and breakdown views for geography, browser, operating system, device, and top Caps. Results can be narrowed to a space or an individual Cap.

Analytics are aggregate. They are useful for understanding reach and engagement, but they should not be described as a definitive attendance record for named viewers.

Use your own storage

An organization can manage storage centrally. Cap currently supports Cap-managed storage, Google Drive, and S3-compatible storage. When storage is managed by the organization, individual members cannot override that choice in Cap Desktop.

Work with an agent

Cap's CLI and MCP surface can inspect organizations, members, spaces, folders, Caps, comments, and analytics. Start by asking the agent to run cap guide --json so it uses the command contract installed on your machine.

For example:

Inspect our Cap organization, members, spaces, and folders. Propose a structure for Product, Support, and Sales, including the exact moves you would make. Do not create, invite, or move anything until I approve the full plan.

The agent should discover IDs rather than infer them from names, remain read-only while planning, and request confirmation before every invitation, role change, content move, storage change, or other mutation. See Agent Workflows for tested patterns.

Bringing an existing team over

For a small Loom library, use Cap's importer directly. For a larger organization, map owners and spaces before starting and verify every import reaches a terminal result. The full process is in Migrating to Cap.
