Sharing & Playback

Share a Cap

Share recordings with Cap links and access controls

A shared Cap uses a URL in this form:

https://cap.so/s/<video-id>

Self-hosted installations use their configured web URL instead of cap.so.

Instant Mode creates a shareable Cap as part of its recording flow. Studio Mode creates one when you choose Shareable Link from the export screen.

After Cap finishes the required upload and processing, copy the returned link from Cap Desktop or the recording's dashboard and share it anywhere a URL is accepted.

Choose who can watch

Cap supports different access states:

  • Public: anyone with the link can watch in a browser without an account.
  • Private: the viewer must sign in and have access through the owner, organization, space, or folder rules.
  • Password protected: the viewer must enter the recording or effective space password before playback.

Sharing a link does not bypass private, organization, space, or password rules. If a Cap belongs to several containers, Cap resolves the effective viewer settings for those locations.

What appears on the share page

The share page provides video playback, scrubbing, fullscreen, volume, and Cap's configured playback speeds. Depending on the recording's processing state and effective settings, it can also show:

  • Captions and a transcript
  • A summary and chapters
  • Timestamped comments, replies, and emoji reactions
  • Download controls
  • Owner and organization branding

Captions and AI output are not guaranteed to exist for every recording. They depend on the audio, processing result, plan, and organization settings. Posting comments, replies, or reactions requires a signed-in account.

Organize a shared Cap

A Cap can be placed in an organization, space, or folder. Moving it changes its library location and can change the access or viewer settings inherited from that location, but it does not create a new recording URL.

See Working With Your Team for roles, spaces, folders, and organization-wide controls.

Embed a Cap

Use the dedicated embed route when the recording should play inside a site or documentation page:

https://cap.so/embed/<video-id>

The embed enforces the same effective access and viewer rules. Screenshots do not render in the video embed. See Embeds.

Revoke access or delete

Change the Cap's access settings when you need to restrict future viewing while keeping the recording. Deleting the Cap removes it from the supported library surfaces and makes its share route unavailable after deletion is processed.
